Enquiries enable recording of initial pricing and requirements. These can be moved on to a formal quotation. Where more complex quotations are required e.g. response to tenders, the integrated costing feature allows you to allocate suppliers, specify margins, terms and alternative products against each line item. Quotations provide options to record the conversion probability and expiry date. Expired quotations can automatically refresh prices if required for re issuing.
De Facto® Customer Relationship Management (CRM) provides users with alerts when a quotation needs chasing or to make a user aware of its status.
The conversion of all or part of a successful quotation to an order is easily accomplished with a full history being maintained. When your quotation for a prospect is successful the prospect is then automatically converted to a customer, along with all associated pre-sales history and CRM activity.
Pre-sales transactions hold the 'prices given' information on the customer record; this can be manually maintained if system quotations are not used.
Quotation workflows can be configured for authorisation, issue of quotes and conversion of quotations to orders. These standard options can be supplemented and further controlled by the use of process status and workflow control events.
Quotations allow for a highly configurable output ranging from a simple product based quotation through to a fully detailed proposal with additional comments, diagrams and images. As with all De Facto® documentation, output design is flexible and can be via email, print, EDI, XML etc. The options for output can be set globally and / or defined by customer using the powerful document profile options.
