Flexible Transaction Entry and Processing

De Facto® Job Costing Software functionality allows flexible entry and processing of many transaction types. Transactions can also be imported when coming from external sources, either via files or directly in real-time using the integration services.

Multiple References

All transactions have the ability to have multiple references (including system applied numbers) with comprehensive descriptions and notes held against both the transaction itself and each line item. These can be especially useful to prevent non finance users having to request additional information from a finance department.

Like all types of transactions within De Facto, costing postings can have fast entry configured to minimise unnecessary key strokes with repetitive tasks. They can also be configured to use additional levels of analysis beyond those provided by the nominal, cost centre and costing accounts.

Transactions can also take advantage of the systems “Filing Cabinet” and Documents Storage and Processing (Document Manager) to both store originating documents and related data and, where applicable, automatically process spread-sheets to create transactions.
 

De Facto functionality allows effective entry and processing of many different transaction types:

Time Recording 

A De Facto user can use time recording functionality, provided by the CRM module, to record time and bills directly as they work, for example a professional practice.

Manual Timesheets

Manual timesheets are entered against employees/resources or built from real-time recording via CRM. The work start and finish dates are recorded and time is charged to for specific activities to project codes and items. Notes can be added to provide detailed commentary for invoices.
 
Charging rates can be set by activity, person, resource (such as machinery), project or customer. Time can be recorded in any multiple, such as minutes or hours and is recorded on daily, weekly or floating time sheets and booked to the project. 

Sales Invoicing

Sales invoices can be manually coded directly to projects. Where real-time activity billing is configured, chargeable time can be reviewed prior to release for billing.

Product Issues

Stock can be reserved against specific projects then issued later. If required, additional costs, for example transport costs for site material deliveries, can be automatically added. Special stock can be purchased which, on receipt, will be issued to the project and either held as stock reserved to the project or expensed immediately to the project. 

Other Transactions

All transactions types from elsewhere in the Finance and Distribution suites can be posted directly against projects and their specific items.
