Centralise Project Information

Create an unlimited number of projects with an unlimited life cycle

De Facto Job Costing Software allows an unlimited number of projects can be created with an unlimited life cycle spanning accounting years. Projects may be created with fully detailed cost and revenue budgets which can be revised throughout the project.  Budgets may be spread throughout the project lifecycle to reflect when income and expenditure is scheduled to occur. Project budgets can be built up from detailed schedules of activity, product and miscellaneous data.

Use terms specific to a business

Project configuration is flexible and business specific with users viewing information in their own “language” and using working practices relevant to their industry whether it is service, construction, manufacturing or trading.

Create multiple project types and views

Multiple different types of project are supported by a comprehensive project database within our Job Costing Software. Project types control the item code hierarchy of projects along with the additional data required for specific projects. Project types are combined with project views. Project views control data displays, selecting which data should be shown and displaying it in a meaningful way. Wizards can be used to enhance the speed and accuracy with which new projects can be created.

Process transactions in real time

Real-time sales income, stock issues, purchase invoice and time costs are accurately processed against a selected project, down to a specific item code. This ensures project costing is always up to date and easily available, at a summary or detail level. Actual revenue and expenditure data is combined with budget and commitments. 

Project records are created and can include the following information:

Types

Projects are specified as a certain type. Each type can have up to five hierarchical levels of detail with the lowest being the item code against which time booked to activities and project costs are recorded. In addition to the hierarchy, the type also defines the additional data that will be held against projects of this type and how its budgets are to be built.

Assignment

Projects can be assigned to a manager and sales person. 

Customer Projects

A fixed single customer can be specified; however certain types of projects may be configured to have multiple clients. A customer may also have multiple projects.
 
This is the most common type of project i.e. work on a client based project, job or contract.


Supplier Projects

A fixed single supplier can be specified; normally however, certain types of projects would be configured to have multiple suppliers. A supplier may also have multiple projects.

This is most often used to control additional costs involved in situations where, for instance, you are costing a brand that you represent.

Product Projects

A fixed single product can be specified; normally however certain types of projects would be configured to have multiple products.

This is normally used to cost a product development process or run an individual Profit and Loss account for a specific product including all types of cost and revenue.

General Projects

These do not specify any of the above and are most often used for internal major projects such as capital intense areas such a plant, vehicles, research and development and property development.

Status

Projects have multiple statuses from prospective, active through to complete.

Project Analysis

Analysis codes can be defined at the project and item code level. These can be used to enhance analysis. Further analysis codes are available at a transaction level which can then be combined with other product related analysis for use within the BI+ module for extensive reporting.

Additional Data

As well as the extensive standard data held to provide the functionality listed above, De Facto Job Costing Software also allows unlimited user defined additional tables and columns of data to be defined for projects.

Views

Business specific screens can be created to display financial data in the most relevant way. Many different views can be created, which can be chosen by the user at the time they select a project, with one view being set as a default. Views can also be user specific. When the project is opened, the user will see costs and income for each item code (as defined in the hierarchy). The user can then drill down on each of the lines for a detailed break-down.
